Office Manager

 

The Office Manager provides administrative, managerial, and financial support to a dedicated team or location. This role is responsible for scheduling travel accommodations for various level employees within the organization, organizing company events and meetings, processing invoices and purchase orders, and handling the general day-to-day operations of the company.

 

Essential Duties & Responsibilities

  • Manages administrative office services, including copy services, word processing, mail and distribution services, records retention, and office reception 
  • Provides general support to internal and external customers 
  • Coordinates with vendors to meet organizational needs, managing contracts and price negotiations 
  • Schedules meetings and appointments and coordinates events, liaising with vendors for catering and event planning as needed 
  • Organizes office operations and procedures 
  • Orders stationery and coordinates with IT department on all office equipment  
  • Ensures timely process of invoices 
  • Manages office budget, confirming accurate and timely reporting  
  • Consistent regular attendance at work 
  • May perform other duties and responsibilities 

 

Knowledge & Requirements

  • Excellent verbal and written communication skills 
  • Highly versatile office/operations management professional offering tradition of performance excellence in high performing, fast-paced corporate and entrepreneurial environments. 
  • Expert in implementing successful event planning, internal training, client training, and general administrative processes and internal procedures. 
  • Natural ability to foster instant rapport and credibility with all organizational levels, solve problems and make sound decisions using good judgment, tact and sensitivity.  
  • Strong analytical, organizational and technical proficiency coupled with exceptional interpersonal and communication skills.  
  • Ability to prioritize, multi-task, and perform effectively under pressure 
  • Knowledgeable of Microsoft Office Suite  

 

 

Education Experience & Requirements   

  • High School diploma or equivalent, additional qualifications or certifications as an Administrative Assistant or Secretary is a plus 
  • 5 years minimum relevant work experience as an Office Manager or Administrative Assistant 
  • Knowledge of office administrator responsibilities, systems, and procedures 
  • Excellent time management skills and ability to multi-task and prioritize work
