Position Title: Office Manager

External Description:

Provides facilities-related support in a specific location. Responsible for ensuring the office space is well maintained while providing a high level of customer service to both internal and external customers. Coordinates repairs and maintenance as needed, organizes catering and events as needed, processes invoices and purchase orders, and handles the general day-to-day facilities-related operations of the office space.

ESSENTIAL DUTIES & RESPONSIBILITIES  

  • Manages all day-to-day facilities-related services including copy machines, shipping and receiving, stocking of kitchen and office supplies as needed and manning the reception desk 
  • Provides general support to internal and external customers visiting supported sites
  • Coordinates repairs and maintenance with vendors as needed; ensures work is completed in a timely manner
  • Schedules meetings and appointments and coordinates events, liaising with vendors for catering and event planning as needed
  • Organizes office operations and procedures
  • Ensures timely process of invoices
  • Manages office budget, confirming accurate and timely reporting
  • Maintaining a safe office environment and leading the safety team/fire wardens for evacuations
  • Serves as liaison with Property Management
  • Ensuring the office represents a top tier company that helps to acquire and retain the best employees through having the best workplace environment
  • Meets with site leaders to ensure all deliverables are being met.

KNOWLEDGE & SKILLS

  • Learns to use professional concepts and to apply company policies and procedures to resolve routine issues.
  • Works on problems of limited professional level scope and follow standard practices and procedures in analyzing situations or data.
  • Works with team-level impact and collaborates with others to achieve objectives.
  • Adept in the implementation of event planning, internal training, and administrative processes and procedures.
  • Ability to foster instant rapport and credibility with all organizational levels, solve problems and make sound decisions using good judgment, tact, and sensitivity.
  • Analytical, organizational and technical proficiency coupled with exceptional interpersonal and communication skills.

EDUCATION & EXPERIENCE

  • BA/BS or equivalent educational background is preferred.  
  • Minimum 5+ years of relevant professional experience with an undergrad degree and/or professional training.
